SignPe automatically sends a notification to all recipients informing them that the document has been voided. You do not need to contact them separately.

The document remains visible in your SignPe dashboard with a voided status, so you have a record that it existed. It cannot be reactivated. Once voided, it stays voided.

Is a voided document the same as a deleted document?

No. Deleting removes the document from your records entirely. Voiding marks it as cancelled and inactive while keeping a record of its existence and the void action in your dashboard. For compliance and audit purposes, the voided record is useful. It shows the document was sent, was voided before completion, and the recipients were notified.

When Can You Void a Document in SignPe?

What are the conditions for voiding?

You can only void a document that is still in progress, meaning it has been sent but not all required signatures have been collected. There are a few scenarios worth understanding clearly before you act:

If no one has signed yet, voiding is straightforward. Cancel it, correct the error, and send a new version.

If you have multiple signers and some but not all have signed, you can still void the document. The unsigned recipients will no longer be able to sign. The recipients who already signed will receive a void notification, and those signatures are no longer legally effective since the underlying document has been cancelled.

If all required parties have already signed and the document is complete, you cannot void it through SignPe. At that point the document is an executed agreement. To address an error in a fully signed document, you need to contact all parties directly, acknowledge the mistake, and either draft an amendment or a new corrected agreement for re-execution.

What happens if a recipient refuses to sign?

If any recipient actively declines to sign rather than just ignoring the request, SignPe automatically voids the document. All parties receive a notification. The sender can then decide whether to correct the issue the signer raised and resend, or to abandon the document altogether.

How to Void a Document in SignPe: Step by Step

Step 1: Find the document

Open your SignPe dashboard and go to the documents section. Locate the document you need to void. You are looking for documents with a pending or in-progress status. Completed documents will not show the void option.

Step 2: Open the document options

On the document entry, click the three-dot menu icon on the right side. A dropdown menu will appear with the available actions for that document.

Step 3: Click Void

Select Void from the dropdown. A confirmation dialog will appear asking whether you want to proceed. Read it before clicking through. Voiding cannot be undone.

If you clicked Void accidentally, click the cancel option in the dialog to go back without voiding.

Step 4: Confirm

Click Continue to confirm the void. The document status changes to voided immediately. All recipients receive an automatic notification from SignPe informing them the document has been cancelled.

The void is complete. You can now prepare the corrected document and send a new signing request.

What Should You Do After Voiding a Document?

How do you fix the error and resend?

Download the original document or open it from the source where it was created. Make the necessary corrections. If it was a name spelling error, fix it. If it was the wrong version, retrieve the correct one.

Upload the corrected document to SignPe as a new document. Add the recipients again, reassign signature fields, and send. Recipients will receive a fresh signing email with no reference to the voided version.

If the error was significant, a brief personal message explaining what was corrected can prevent confusion. SignPe lets you add an optional message to the signing request before sending.
